Guide to choosing a tent

Tents are available in a variety of sizes and styles to accommodate every type of event.  There are a few things that must be considered when using tents for an event.  The following guidelines should be very helpful in determining your individual needs.

Size - Maximum seating can be accomplished by using 60" round tables or making long rows of banquet tables. Here are a few spacing requirements that we recommend when determining tent size:

Cocktail Party (standing)                                                                                                                               5 - 6 square feet per person

Buffet Reception (seated)                                                                                                                             8 square feet per person

Served Dinner (seated using banquet tables)                                                                                        10 square feet per person

Served Dinner (seated using round tables)                                                                                             14 square feet per person

Theater-style Seating                                                                                                                                     6 square feet per person

Classroom Seating (w/ conference tables)                                                                                               8 square feet per person

Dance Floor Size                                                                                                                                               2 square feet per person

Staging for a band                                                                                                                                           10 square feet per person 

Bar                                                                                                                                                                        50 - 100 square feet

Buffet                                                                                                                                                                   100 square foot minimum

 
Style - The recommended tent style will be based on three factors -- appearance, space restrictions, and installation restrictions.

Pole Tents come in two varieties: High Peak and Traditional Pole Tents. High Peak tents offer a dramatic, cathedral ceiling type of look. Traditional Pole Tents are the most cost-effective tent and include large center poles with upright perimeter poles spaced every 8 - 10 feet. Pole Tents must be setup on level ground and require five additional feet on each side for proper staking.

Frame Tents can fit into tight spaces because stakes can be placed near the frame. Water barrel weights can sometimes be used when staking is not possible. Drilling into asphalt can also be done to anchor a tent securely where water may not be available. Please check for underground lines before hand. Frame Tent can be easily attached to another to add room for buffets, bars, and entrance ways.

Site Inspections - If necessary, a representative of our tent crew will visit your site to make sure the tent you have chosen can be installed. We look for obstacles which could prevent the proper installation of a tent. The site inspection fee of $25 will be applied towards the tent rental.

 - Please call the Utilities Protection Service to mark all underground utility lines. The utility companies will mark their lines; however it is the land owners’ responsibility to mark all private lines, including sprinkler systems. There is no requirement to be present when lines are marked. We prefer if the area to be tented is clearly marked with white flags or paint.

Permits - The need for permits varies from town to town, township to township. If you are unsure whether or not you need a permit for your tent, please contact your local fire department and city hall.

THINGS WE NEED TO KNOW

Is the tent going on grass or asphalt? 
If on asphalt, can we drill or water barrel? 
Is a water supply close by (100 ft)?
Are there lines underground? Power, Water, etc. 
Overhead obstructions? Tree limbs, Power Lines, etc. 
Have we/someone measured for the tent? 
Is the ground level? 
Box truck accessibility? 
We require a 50% non-refundable deposit to reserve a tent.
Set up and installation
Tents are large and complex items.  We ship tents in a separate trucks to prevent damage to the tent and to the other equipment you may need for the event.  This installation fee will be added to the cost of the tent and separate from the delivery of other items ordered.
